Director of Events

SUMMARY

The Director of Events (DOE) is responsible for directing and supporting signature events for Visit Sacramento (VS) and all if its brands, including the Sacramento Sports Commission (SSC). The DOE oversees a team to ensure that all events are executed at the highest level, at or under budget. A hands-on position, the DOE plays an active role in the planning and execution of all Visit Sacramento events.

ESSENTIAL FUNCTIONS

  1. Collaborate on and lead the development, logistics and strategy for all Visit Sacramento events, including (but not limited to):
    • Visit Sacramento-produced events
      • Legends of Wine
      • Farm-to-Fork Festival
      • Tower Bridge Dinner
      • New Year’s Eve Sky Spectacular
      • Annual Lunch
    • Sports Commission-produced events
      • Amgen Tour of California
      • Collegiate sporting events
      • USA Track & Field events
    • Partnership, Sales and Client events
      • Annual Holiday Party
      • Partnership mixers/events
      • Tradeshow Booths at national conferences
    • Other SCVB department events as needed and new events that are yet to be determined
  2. Identify the needs of Visit Sacramento and internal clients
  3. Lead and mentor a team of professionals who are responsible for executing events
  4. Design and execute dynamic events and experiences for our community and customers
  5. Ensure highest level of organization and cost efficiency in the development and implementation of operating plans, systems and procedures
  6. Ensure that all required information is communicated between internal and external clients, marketing, and sponsorship sales
  7. Develop and execute event staff and vendor briefing plans
  8. Partner with Marketing and Communication teams to implement segmentation strategies to ensure that we are reaching and connecting with the proper audiences
  9. Plan, approve and monitor event budget and revenue
  10. Support the President & CEO in the evaluation of the effectiveness of events and conduct post-event wrap up and evaluation meetings in a timely manner
  11. Maintain a vendor database with regular updates
  12. Ensure that event timelines are thorough and accurate and follow event check lists
  13. Ability to work on multiple events simultaneously
  14. Attend regular committee meetings for each event
  15. Work onsite at all VS and SSC events unless otherwise directed (often includes weekends, holidays and long work hours)
  16. Attend internal and external meetings for VS and SSC events, as needed
  17. Responsible for addressing problems brought to his/her attention
  18. Other duties as assigned

MINIMUM QUALIFICATIONS:

  • BS/BA degree
  • 10 years successfully managing large scale events
  • 3+ years experience leading, mentoring and motivating cross functional teams
  • Proven track record of executing extremely successful events, both financially and in attendance
  • Strong event logistics reporting and budget management skills
  • Proven ability to think outside the box and drive additional value to event programming
  • Ability to articulate and evangelize the vision and direction of event objectives and goals to all levels within the organization
  • A natural presenter: strong public speaking and presentation skills
  • Strong computer skills, including Microsoft Office applications, email, and internet
  • Strong understanding and experience of sponsorship fulfillment needs and execution
  • Strong organization, acute attention to detail and ability to multi-task
  • Have experience with technical aspects of production: lighting, sound, stage design
  • Demonstrated ability to build and maintain effective working relationships as well as manage difficult personalities
  • Develop constructive and cooperative working relationships with others and maintain them over time
  • Disseminate information about decisions, plans and activities to people who need the information to do their work, share appropriate information openly
  • Influencing: Appealing to reason, values or emotion to generate enthusiasm and support by convincing or persuading others
