Convention Sales Coordinator

Summary:

Provides assistance to Director and staff of the Convention Sales Department by performing a variety clerical duties including but not limited to sales related bulletins, creation of bid books, presentations, proposals, etc. and conducts research on groups for the sales team. Performs a variety of routine correspondence.  Monitors and follows up on leads, produces performance reports, may produce convention calendar and work with sales managers on developing FAM tours, site visits, trade show promotions, client events, etc. 

 

This position has significant contact with customers, Visit Sacramento Partners, and other business contacts.  This position requires the ability to work independently, exercising judgment and initiative and at time anticipating the needs of the sales team and hotel partners.

Major Duties & Responsibilities:

Prepares and processes sales leads and accompanying follow-ups and/or lost business reports.

Coordinates and executes the communication of sales bulletins to hotels.

Assists with the maintenance and retrieval of general file information and special projects.

Assists sales staff with bid proposal creation and assembly.

Coordinates hotel proposals as they apply to bid proposals.

Assists sales staff with sales follow-ups and organization of account data.

Assists sales staff with preparation for sales presentations.

May compile content for convention calendars, monthly media calendars, Board of Directors and convention reports.

Responds to convention and travel-trade clients requesting information, material, etc.

Maintains constant supply of sales materials (bid proposal packages, destination planner guides, sales kits, slides, videos, etc.) and monitors usage.

 

Coordination of site visits and other arrangements for travel, meetings, scheduling appointments, maintain calendars, etc.

Other duties as assigned by Director of Convention Sales.

Requirements:

  • Two-year degree from an academic institution preferred or equivalent experience.
  • Experience with convention bureau, hotel, tourist attraction or other related tourism field preferred.
  • Sales experience in the hospitality or tourism related field preferred.
  • Great knowledge of Sacramento and Sacramento’s history preferred.
  • Excellent customer service and interpersonal communication skills.
  • Excellent oral and written communication skills.
  • Ability to exercise judgment and diplomacy in a wide variety of public contact situations.
  • Excellent organizational skills and ability to handle multiple tasks and projects.
  • Strong understanding of Microsoft Word, Excel, PowerPoint, Office, and Adobe PDF.
  • Flexible and able to adjust to changing conditions and circumstances.
  • Reliable transportation and proof of insurance.
  • Experience with a variety of office machines to include fax, copy, mail meters
